Our Lawful Basis

The lawful basis depends on the purpose of the processing.

This may include:

Contract - where information is needed to respond to an enquiry, prepare a quote, take steps before entering into an agreement or provide an agreed service.

Legitimate interests - where using information is reasonably necessary to operate, protect or develop FL Ecosystem, respond to business enquiries, maintain business records, understand service performance or carry out permitted business-to-business marketing, and those interests do not override your rights.

Legal obligation - where we need to use or retain information to comply with tax, accounting, regulatory or legal requirements.

Consent - where consent is required and you have given it, including for non-essential analytics cookies or electronic marketing where consent is required.

Where we rely on consent, you can withdraw it at any time.

Where Information Comes From

Most personal information we use is provided directly by you.

This may happen when you:

  • use a contact or enquiry form;
  • email us;
  • send us a message;
  • request a quote;
  • discuss a project;
  • purchase a service; or
  • otherwise communicate with FL Ecosystem.

We may also use publicly available business contact information for lawful business-to-business marketing where permitted.

Client Information and Files

When providing services, you may give FL Ecosystem information, files, content or access needed to complete the agreed work.

We will use this information only where reasonably necessary to provide the service, communicate with you or meet our legal and business obligations.

You should only provide information or materials that you are authorised to share.

Sharing Your Information

We do not sell or rent personal information.

We may share personal information with trusted service providers where reasonably necessary to operate our business or provide an agreed service.

This may include providers used for:

  • website hosting and operation;
  • website analytics, including Google Analytics;
  • email and communications;
  • payment processing;
  • accounting and administration;
  • professional advice; and
  • other services required to provide agreed work.

We may also disclose information where required by law or where reasonably necessary to establish, exercise or defend legal rights.

International Data

Some service providers may process or store information outside the United Kingdom.

Where UK data protection law requires safeguards for an international transfer, appropriate safeguards will be used.

How Long We Keep Your Information

We only keep personal information for as long as it is reasonably needed.

This may include keeping information where necessary to:

  • provide a service;
  • maintain appropriate business and project records;
  • meet tax, accounting or legal requirements;
  • deal with disputes; or
  • protect our legal rights.

When information is no longer reasonably required, it will be deleted or securely disposed of where appropriate.

Keeping Your Information Secure

We take reasonable technical and organisational measures to protect personal information from unauthorised access, loss, misuse or disclosure.

However, no website, email service or internet-based system can be guaranteed to be completely secure.

Your Data Protection Rights

Depending on the circumstances, UK data protection law may give you rights over your personal information.

These may include the right to:

  • ask what personal information we hold about you;
  • request a copy of your information;
  • ask us to correct inaccurate information;
  • ask us to delete information in certain circumstances;
  • ask us to restrict how information is used in certain circumstances;
  • object to certain uses of your information;
  • receive certain information in a portable format where applicable; and
  • withdraw consent where we rely on consent.

These rights are not always absolute and may depend on the circumstances.

To exercise a data protection right, contact:

hello@flecosystem.co.uk

We may need to confirm your identity before completing certain requests.

Data Protection Complaints

If you are unhappy with how FL Ecosystem has handled your personal information, you can make a data protection complaint by contacting:

hello@flecosystem.co.uk

We will acknowledge a data protection complaint within 30 days of receiving it.

We will take appropriate steps to investigate the complaint without undue delay, keep you appropriately informed and tell you the outcome.

You also have the right to complain to the Information Commissioner's Office (ICO).

Cookies & Analytics

FL Ecosystem may use Google Analytics 4 (GA4) and PostHog on the FL Ecosystem website and FL Brochure to help us understand how our digital services are used and improve their performance and content.

Analytics tools may collect information such as page views, session information, approximate location, browser and device information, and interactions with pages. Enhanced measurement may also record interactions such as scrolls, outbound clicks, file downloads and form interactions.

GA4 may use first-party analytics cookies, including _ga and _ga_<container-id>. PostHog may use cookies or local storage entries beginning with ph_. These analytics technologies are not used by FL Ecosystem to identify you by name.

Analytics cookies and similar technologies are non-essential. They should only be used after you have made an appropriate consent choice. You can withdraw or change consent where a consent control is provided.

Google and PostHog act as service providers for analytics and may process analytics information in accordance with their own terms and privacy safeguards.

Marketing

FL Ecosystem may contact relevant businesses about our services where permitted by law.

Different rules can apply depending on whether the recipient is a company, organisation, sole trader or individual.

Where consent is required for electronic marketing, we will only send that marketing where the appropriate consent or other legal permission exists.

Marketing communications will identify FL Ecosystem and provide an appropriate way to opt out where required.

You can ask us to stop sending marketing communications at any time by contacting:

hello@flecosystem.co.uk

If you opt out, we may keep the minimum information necessary to record your preference and make sure we do not accidentally contact you again for marketing purposes.

Administrative communications relating to an enquiry, quote, payment, project or active service are not necessarily marketing.

Using Our Website

You may use the FL Ecosystem website for lawful purposes.

You must not deliberately misuse the website, interfere with its operation, attempt unauthorised access or use it in a way that could harm FL Ecosystem or other users.

We aim to keep information on the website accurate and up to date, but information may change from time to time.

Enquiries and Services

Contacting FL Ecosystem or making an enquiry does not automatically create a paid service agreement.

Where you decide to purchase a service, the scope, price and any specific terms will be confirmed through the relevant quote, proposal, order, invoice or other agreement.

If requirements change or additional work is requested outside the agreed scope, additional charges may apply.

Any additional paid work should be agreed before that additional work proceeds.

Payments

Payments may be processed using a third-party payment provider.

Payment amounts and due dates will be shown on the relevant quote, invoice or agreement.

Where a deposit or advance payment is required, this will be explained before payment is made.

If a project or service is cancelled, any refund or amount retained will depend on the work already carried out, reasonable costs incurred, the circumstances of the cancellation and any rights that apply under UK law.

Nothing in these terms removes cancellation or refund rights that apply by law.

Your Responsibilities

When purchasing a service from FL Ecosystem, you are responsible for providing information, content, feedback and access reasonably required to complete the agreed work.

You must ensure that information you provide is accurate and that you have the right or permission to provide any content, images, logos, files or other materials supplied to us.

Delays in receiving information, content, approval or access may affect agreed timescales.

Third-Party Services

Some FL Ecosystem services may rely on third-party providers or platforms, such as hosting, email, analytics, payment or communication services.

Third-party services operate independently from FL Ecosystem and may change their services, terms, availability or functionality.

We cannot guarantee the continuous availability or operation of services controlled by third parties.

Results

FL Ecosystem aims to provide services professionally and with reasonable care and skill.

However, we cannot guarantee particular commercial results.

This includes guarantees relating to search-engine rankings, website traffic, enquiries, leads, sales or revenue.

Results can depend on factors outside FL Ecosystem's control.

Intellectual Property

The FL Ecosystem name, branding, website content, graphics and other original materials belong to FL Ecosystem or the relevant rights holder unless stated otherwise.

They must not be copied, reproduced or commercially used without permission except where permitted by law.

You remain responsible for materials you provide to FL Ecosystem.

Ownership or licensing of work created specifically for a client will be determined by the relevant quote, proposal or service agreement.

Service Availability

We aim to keep our website and services operating normally, but uninterrupted availability cannot be guaranteed.

Maintenance, technical issues, third-party outages or circumstances outside our reasonable control may occasionally affect availability.

Liability

Nothing in these terms excludes or limits liability where doing so would be unlawful.

To the extent permitted by law, FL Ecosystem will not be responsible for indirect losses or losses caused solely by circumstances, platforms or services outside our reasonable control.

Nothing in these terms removes any legal rights that cannot be excluded.

Changes to These Terms

We may update these terms from time to time to reflect changes to our business, services, providers or legal requirements.

The latest version will always be available on this website.

Last updated: 21 August 2026.

Governing Law

These terms are governed by the laws of England and Wales.

Promotions & Offers

FL Ecosystem may occasionally offer promotional prices, discounts or special offers.

Individual promotions may have their own eligibility requirements, availability, dates and conditions.

Important conditions will be shown with the relevant promotion where appropriate.

Where a service is advertised using a "from" price, the final price may depend on the scope and requirements of the service requested.

Prices and mandatory charges will be presented as clearly as reasonably possible.

FL Ecosystem may amend or withdraw an offer where permitted by law.

Nothing in a promotion affects rights that cannot legally be excluded.
