Who FL Ecosystem is

FL Ecosystem provides website design, website care and social media management services for small businesses, sole traders and growing projects.

For UK data protection purposes, FL Ecosystem is the data controller for personal information it decides how and why to use. This includes information sent through this website, by email, in messages or as part of a project.

What data is collected

FL Ecosystem may collect your name, email address, phone number, business name, business or project information, website details, social media details and the emails or messages you send.

Project work may also involve logos, brand assets, images, website content, project files, notes, feedback and other materials you choose to provide.

Where applicable, invoice and payment information may be kept for billing and accounting records. Basic technical website data, such as device, browser, page visit or form submission information, may also be collected where needed to run and improve the website.

Why data is used

Personal information is used to reply to enquiries, prepare proposals or quotes, deliver agreed services, manage projects, send documents and keep in touch about active work.

It may also be used for invoicing, payment records, legal or business record keeping, service quality, website improvements and general business administration.

FL Ecosystem only uses personal information for reasons connected with the enquiry, project, service relationship or legal responsibilities.

Lawful basis under UK GDPR

Contract or steps before a contract may apply when FL Ecosystem uses your information to respond to an enquiry, prepare a proposal, agree work or deliver services.

Legitimate interests may apply where information is used to manage business relationships, improve the website or services, keep appropriate records and protect the business, provided those interests do not override your rights.

Client files and project materials

FL Ecosystem may receive and store client documents, emails, files, assets, images, website copy, social media materials and other project materials needed to provide the agreed service.

Clients should only send information and files that are needed for the project. Please do not send unnecessary sensitive information unless FL Ecosystem has specifically requested it.

Client materials are handled for the purpose of delivering the agreed work, managing the project and keeping appropriate project records.

Who data may be shared with

FL Ecosystem does not sell personal data. Information is shared only where needed to run the business, deliver services, meet legal duties or protect legitimate business interests.

This may include hosting or website providers, email providers, cloud or file storage providers, payment or accounting providers where applicable, and professional advisers or regulators where required.

Only the information needed for the relevant purpose is shared, and service providers are expected to handle information securely and lawfully.

FL APP / FL Social

FL APP / FL Social is a software product developed by FL Ecosystem. Users may create an account to access app features.

Users may connect supported third-party services using their own accounts. Current supported integrations include Buffer, Microsoft OneDrive and OpenAI-powered features. Future integrations may be added over time.

FL Ecosystem does not provide or resell third-party services such as Buffer. Users remain responsible for their own third-party accounts, subscriptions, permissions and compliance with those providers' terms.

FL APP / FL Social may process account details, profile information, workspace information, content drafts, media references, scheduling information, integration connection status, support requests and billing information where applicable.

Sensitive authentication tokens are securely stored and are used only to provide the requested connected services.

How long data is kept

Personal information is kept only for as long as needed for the reason it was collected.

Client and project records may be kept after work ends where needed for service history, accounting, legal, insurance or dispute reasons.

You can request deletion of your personal information. FL Ecosystem will delete it where legally possible, but some records may need to be kept for lawful business or legal reasons.

Your rights

You can ask to access the personal information held about you, correct inaccurate information, delete information where the right applies, restrict how information is used, object to certain uses or request portability where this applies.

For FL APP / FL Social, you may also request access to your data, correction of your data, deletion of your account or data, and export of your personal data by contacting FL Ecosystem.

Where FL Ecosystem relies on consent, you can withdraw that consent at any time. This will not affect anything done before consent was withdrawn.

Marketing

FL Ecosystem will only send marketing where allowed by law. You can opt out of marketing emails or messages at any time by using the details in the message or contacting hello@flecosystem.co.uk.

Service emails, project updates, quote discussions, invoices and messages about active or past work are not marketing.

Terms & Conditions

Acceptance of these Terms: By using this website, contacting FL Ecosystem, buying services or creating an FL APP / FL Social account, you agree to these Terms & Conditions. If you do not agree, you should not use the website, services or app.

Eligibility: FL Ecosystem services are intended for people and businesses who can enter into a lawful agreement under UK law. If you use FL APP / FL Social for a business, project or organisation, you confirm that you have authority to do so.

User accounts: FL APP / FL Social may allow users to create an account to access app features. You must provide accurate account information and keep it up to date.

Account security: You are responsible for keeping your login details secure and for activity carried out through your account. You should contact FL Ecosystem promptly if you believe your account has been accessed without permission.

User responsibilities: You are responsible for the information, content, files, media, instructions and account connections you provide. You must have the right to use anything you upload, submit, connect or ask FL Ecosystem to work with.

Acceptable use: You must not use FL Ecosystem services, this website or FL APP / FL Social for unlawful, harmful, abusive, misleading, infringing or security-breaking activity. You must not try to damage, overload, reverse engineer or interfere with the website, app, systems or other users.

Third-party integrations: FL APP / FL Social may allow users to connect supported third-party services using their own accounts. Supported services may include Buffer, Microsoft OneDrive and OpenAI-powered services. Future providers may also be supported.

FL Ecosystem does not sell or resell third-party services such as Buffer. Users remain responsible for maintaining their own third-party accounts, subscriptions, permissions and compliance with those providers' terms.

Intellectual Property: FL Ecosystem branding, website content, app design, software, copy and materials belong to FL Ecosystem unless stated otherwise. Client or user content remains the responsibility of the person or business providing it, and project-specific ownership or licence terms may be confirmed in proposals, agreements, invoices or other written documents.

Service Availability: FL Ecosystem aims to provide reliable website, service and app access, but availability may be affected by maintenance, updates, technical issues, third-party providers or events outside FL Ecosystem's control.

Limitation of Liability: FL Ecosystem is not responsible for indirect losses, loss of profits, loss of business, loss of data, third-party service failures or issues caused by user content, account permissions or instructions, except where liability cannot legally be excluded or limited.

Suspension or Termination: FL Ecosystem may suspend or end access to services or FL APP / FL Social where needed to protect users, systems, legal rights, payment status or service integrity, or where these Terms are breached.

Privacy: FL Ecosystem handles personal information in line with the Privacy Policy on this Privacy & Legal page.

Changes to these Terms: FL Ecosystem may update these Terms & Conditions from time to time. The latest version will be available on this Privacy & Legal page.

Governing Law: These Terms & Conditions are governed by the laws of England and Wales, and disputes will be handled by the courts of England and Wales unless the law requires otherwise.

Project-specific pricing, deliverables, responsibilities, timelines, payment terms and other terms are confirmed in written proposals, agreements, invoices or documents issued by FL Ecosystem. If any project document conflicts with this general website information, the project-specific written terms will usually take priority for that project.

Intellectual property

FL Ecosystem branding, website content, design, copy and other materials belong to FL Ecosystem unless stated otherwise.

Client-provided logos, images, brand assets, website content and other materials remain the client's responsibility and ownership where applicable. Clients must have the right to use anything they provide.

Final ownership or licence terms for project deliverables should be confirmed in the relevant proposal, agreement, invoice or project document.

Liability

FL Ecosystem aims to keep this website accurate and available, but the site may not always be error-free, complete or uninterrupted.

Nothing on this page excludes or limits liability where it would be unlawful to do so.

Referral Programme

The current referral reward is the reward set out in FL Ecosystem's current referral offer at the time the referral is accepted.

Where the Referral Programme applies, both the referrer and the referred client receive the current referral reward once the referred client becomes a paying FL Ecosystem customer.

Referral rewards are subject to FL Ecosystem's current referral offer and are only issued once all eligibility requirements have been met.

FL Ecosystem may amend or withdraw the Referral Programme at any time.
